Conditions for Archival Work and Family Legacy Projects

These terms define how Survivor Holding Company handles preservation projects, the responsibilities of each party, and the limits of our liability when safeguarding your family's records.

01 / Scope

Services Covered by This Agreement

Our work includes document digitization, oral history recording, photo conservation assessments, and the preparation of family legacy books and digital repositories. Any additional service discussed during consultations, such as climate-controlled storage recommendations or guided archive workshops, becomes part of the agreement only when confirmed in writing.

02 / Client Duties

Your Responsibilities Before and During the Project

You confirm that you own the materials you submit or have the legal right to share them. You agree to provide accurate information about the origin and condition of items, and to notify us promptly if any document or photograph carries restrictions on reproduction. Access to original materials must be arranged at mutually agreed times.

03 / Our Obligations

Handling, Storage, and Delivery of Materials

We handle physical items with conservation-grade care, using acid-free folders and cotton gloves where appropriate. Digitized files are delivered in standard archival formats, and originals are returned in the same condition in which they were received. We maintain a written log of every item throughout the project.

04 / Liability

Limits of Responsibility

While we take every reasonable precaution, we are not liable for pre-existing damage, natural deterioration, or loss caused by events beyond our control, including fire, flood, or power failure. Our total liability for any claim is limited to the fees paid for the specific project in question. We do not guarantee that digitized materials will be accepted by third-party platforms.

05 / Termination

Ending or Pausing a Project

Either party may end the agreement with seven days written notice. If a project is paused or cancelled, you will receive all completed work and materials already digitized. Fees for work completed up to the termination date remain payable, and any unused advance is refunded within thirty days.

06 / Changes

How These Terms May Be Updated

We may revise these terms to reflect changes in our services or legal requirements. Updated versions are posted on this page, and continued use of our services after changes take effect means you accept the revised terms.
